The objective of Wargrave Tennis Club (or the “Club”) is to promote the game of tennis in Wargrave and the surrounding area; by encouraging and supporting more players, of all ages and abilities, to play better competitive or social tennis; in an environment that is fun, safe and inclusive.
We believe in treating all members alike, regardless of age, gender or ability. We make every effort to maintain a friendly and welcoming atmosphere, and we want our members to feel that it is ‘their club’. Our committee of volunteers are always willing to listen to your suggestions, and we always appreciate any help that would improve how the Club is run, or the facilities that we offer.
When joining or rejoining the Club, Members (and visiting non-members) should follow these general club rules and the codes of conduct listed below, together with rules set out in our constitution. All these documents are available on our website or via the Lawn Tennis Association.
1. New members and existing members should pay for their membership via the ClubSpark online database and all Club communication will be managed via email (and via the clubhouse noticeboard).
2. Membership fees paid are for the season that runs from 1st April to the 31st March. Discounted fees are offered during the year. At renewal, members normally receive a 10% discount if they renew their membership within a fixed period agreed by the Committee.
3. New members who join can get a pro-rata refund if they cancel within 30 days. After that time, refunds are not normally offered, although exceptional cases will be considered.
4. On joining or rejoining Wargrave Tennis Club, you grant permission for the Club to hold your personal details on our Club database that is managed and stored, in accordance with current GDPR legislation, on the LTA approved ClubSpark system. Your details will only be used in managing your membership of the Club, and we will use your contact details to communicate details of future Club events and news. Your contact details will not be shared with any other organization with the exception of our coaching provider, who may contact you from time to time with updates on future coaching activity.
5. Members can invite a guest to play at the Club, but only if an “all-day” Visitor’s Fee of £5 is paid into the letter box PRIOR to the guest playing. Please note that a non-member can only play as an “invited guest” up to 4 times in any one year (after this, they will be expected to join).
6. Any prospective members are allowed to attend a Club session up to two times FREE of charge before deciding whether they wish to join the Club.
7. As part of our lease, non-members can book and play on courts 5 and 6 when they are not needed by the Club for league matches or Club tournaments, and ONLY if they have booked and paid for the courts BEFORE they start playing.
8. Non-members are NOT allowed to play on any other court (even if free) unless they are playing with a member (and a visitor’s fee of £5 has been paid before playing).
9. To wear suitable tennis clothing and non-marking shoes.
10. All play must cease at 10pm (the lights go out at this time) and to ensure that the Club are courts are secure if you are the last member to leave.
11. Do not leave any litter on court and to clear up the kitchen area after use (wash and dry glasses, cups etc.) and hover up the floor if you have been playing in a team match.
12. After using the clay courts, ensure you sweep the courts so they are ready in time for the next booking.
13. Pickleball Only Members are not allowed to play tennis on any courts except if they want to book courts 5 and 6 as a non-member. Alternatively, they are extremely welcome to upgrade to a full tennis membership at any point if they wish to play tennis at the Club on any other court.
14. Anyone playing tennis or pickleball on Wargrave Tennis Club’s courts does so entirely at their own risk and the Club accepts no liability for injuries. While all our courts have a regular clearing and maintenance programme, they can still be slippery in icy and wet conditions. If you have doubts about the conditions, please don’t play your match.
15. Members are expected to behave at all times in accordance with generally accepted standards outlined in our codes of conduct. Any member who is found to be acting in a way that is contrary to the Club’s rules and policies; is in defiance of the elected Committee; or behaves in a manner that brings the Club into disrepute; is liable, after due investigation, to appropriate disciplinary action or expulsion from the Club. Appeal against such disciplinary action or expulsion may be made to the Committee who must consider the appeal within ten days of the Secretary receiving the appeal.
All members are expected to familiarise themselves with the Wargrave Tennis Club’s Safeguarding Policy and the Lawn Tennis Association’s Code of Conduct, and at all times act in accordance with them. Breaches of the law, the Safeguarding Policy and/or the LTA Code of Conduct may result in criminal and/or disciplinary action being taken.
All members of staff and volunteers agree to:
• Prioritise the well-being of all children and adults at risk at all times
• Treat all children and adults at risk fairly and with respect
• Be a positive role model. Act with integrity, even when no one is looking
• Help to create a safe and inclusive environment both on and off court
• Not allow any rough or dangerous behaviour, bullying or the use of bad or inappropriate language
• Report all allegations of abuse or poor practice to the club Welfare Officer
• Not use any sanctions that humiliate or harm a child or adult at risk
• Value and celebrate diversity and make all reasonable efforts to meet individual needs
• Keep clear boundaries between professional and personal life, including on social media
• Have the relevant consent from parents/carers, children and adults before taking or using photos and videos
• Refrain from making physical contact with children or adults unless it is necessary as part of an emergency or congratulatory (e.g. handshake / high five)
• Refrain from smoking and consuming alcohol whilst playing on court. Excessive alcohol consumption on the club premises will not be tolerated.
• Ensure roles and responsibilities are clearly outlined and everyone has the required information and training
• Avoid being alone with a child or adult at risk unless there are exceptional circumstances
• Refrain from transporting children or adults at risk, unless this is required as part of a club activity (e.g. away match) and there is another adult in the vehicle
• Not abuse, neglect, harm or discriminate against anyone; or act in a way that may be interpreted as such
• Not have a relationship with anyone under 18 for whom they are coaching or responsible for
• Not to have a relationship with anyone over 18 whilst continuing to coach or be responsible for them
All children agree to:
• Be friendly, supportive and welcoming to other children and adults
• Play fairly and honestly
• Respect club staff, volunteers and Officials and accept their decisions
• Behave, respect and listen to your coach
• Take care of your equipment and club property
• Respect the rights, dignity and worth of all participants regardless of age, gender, ability, race, culture, religion or sexual identity
• Not use bad, inappropriate or racist language, including on social media
• Not bully, intimidate or harass anyone, including on social media
• Not smoke, drink alcohol or drugs of any kind on club premises or whilst representing the club at competitions or events
• Talk to the club Welfare Officer about any concerns or worries they have about themselves or others
All adults agree to:
• Positively reinforce your child and show an interest in their tennis
• Use appropriate language at all times
• Be realistic and supportive
• Never ridicule or admonish a child for making a mistake or losing a match
• Treat all children, adults, volunteers, coaches, officials and members of staff with respect
• Behave responsibly at the venue; do not embarrass your child
• Accept the official’s decisions and do not go on court or interfere with matches
• Encourage your child to play by the rules, and teach them that they can only do their best
• Deliver and collect your child punctually from the venue
• Ensure your child has appropriate clothing for the weather conditions
• Ensure that your child understands their code of conduct
• Adhere to Wargrave Lawn Tennis Club’s safeguarding policy, diversity and inclusion policy, rules and regulations
• Provide emergency contact details and any relevant information about your child including medical history
