These terms and conditions apply to all court bookings at Wargrave Tennis Club (WTC), whether for members booking courts at times when they are free of charge, for adult tennis members booking our padel court (court 8), or for non-members (and WTC Pickleball Only members) who may book our two public courts (courts 5 and 6) at times when the Club does not need them to accommodate tournaments or league matches.
By booking a court, members and non-members agree to abide by these terms and conditions.
And please keep in mind, as we are a club run by volunteers, we don’t offer telephone or email support to deal with any urgent queries related to court bookings. However, if you do have questions or suggestions, please email the Court Booking Secretary.
1. Court Booking Procedure and Eligibility
a. Courts at WTC can be booked up to 14 days in advance using the ClubSpark system for the designated times stated in the online system. Bookings can be made via wargravetennis.com or using the Clubspark Booker App available at Playstore or Appstore.
b. Members and non-members should not book a court longer than two hours. This should be more than enough to accommodate most matches e.g. 2 sets with a championship tie break.
c. WTC Adult Tennis Members (or parents of WTC junior members aged 12+) are eligible to book courts 1, 2, 3, 4, 7, and 9 free of charge. They can also book courts 5 and 6 at no cost when they are not allocated for public use (see 1f below).
d. WTC Adult Tennis Members (and parents of WTC junior members 12+) can book the padel court (court 8) for £10 an hour during off-peak times (before 5pm weekdays and after 5pm on Saturday and Sunday) and £20 an hour for peak times (or whatever hourly rates are currently showing on the online system). Members playing on the padel court who have not paid, or with guests who have not paid their visitor’s fee, may have their future court booking rights removed (see para 2 below).
e. WTC Adult Pickleball Only members can only book courts 5, 6 and 9 to play pickleball or book courts 5 and 6 as non-members if they want to play tennis (see 1f below). Alternatively, they can upgrade to a full WTC adult tennis membership at any point if they wish to play tennis at the Club on any other court.
f. Non-members of WTC can pre-book courts 5 and 6 to play tennis or pickleball when the Club does not need them to accommodate tournaments or league matches. The current rate to book a single court is £8 an hour (or whatever hourly rates are currently showing on the online system). Payment must be made before play begins. Non-members should only book courts 5 and 6 for play during daylight hours, as we cannot guarantee that flood lights will be available. Non-members are not allowed to play on any other court (even if they are free) unless they are playing with a member (and a visitor’s fee is paid before play begins).
g. For all courts, any pre-booked match, coaching or Club sessions takes priority over any court time that has not been booked online. If you are playing on a court at a time when it has been booked; if requested, please come off the court at the end of your next game (NOT set or match). Members playing on artificial clay (courts 1, 2, 3 and 4) should stop play 5 minutes before the scheduled end booking time and use the provided equipment to prepare the courts for the following players’ use.
h. The eligible member who books the court must be present on the court during the period of the booking i.e. a member can’t book for another member, or book a court for guests and not be present (see para 2b below). For junior 12+ members, it is assumed that their parents might book and pay for a court, however, the junior member 12+ should be present on the court during the period of the booking. Any non-members joining the junior 12+ member during the booking must pay the visitors’ fee in line with para 2b and 2c below (including any parents who are non-members).
2. Court Payments and Guests
a. Unless it is an approved Club session, booking payments (where relevant) must be made before any play begins, and play on this court should end when the booking is finished.
b. Any guests must be accompanied by a member, and a visitor’s fee must be paid BEFORE play begins using the QR codes that are available throughout the Club or via our website at wargravetennis.com. Cash payments are not accepted for guest fees.
c. A member’s guest can play as a visitor up to four times in any one year. After this, the guest will be expected to join the Club.
d. If requested by our Head Coach or a member of the committee, members and guests should provide their names and ID so that we can check whether payment has been made via our online system (both for the court and for the visitors fee).
3. Court Cancellations and Refunds
a. Members and non-members should immediately cancel any advanced bookings if they are no longer able to play their match. This frees up the courts for other users.
b. For courts where payments have been made (including the padel court), you will receive a full refund if you cancel your booking 24 or more hours before your scheduled play time. If you cancel less than 24 hours before your booking, no refund will be given for any reason, including bad weather.
c. At any time, the Club reserves the right to cancel any advanced booking. For example, if severe weather is forecast, for maintenance reasons, or to accommodate demand for league matches or Club tournaments. If payment had been made for a court, a full refund will be issued.
4. Equipment and Club Rules
a. Unless it’s an approved Club session, players should provide their own rackets and balls (although members may use old tennis balls and pickleball bats if they are available in the clubhouse).
b. Anyone playing tennis, padel or pickleball at WTC does so at their own risk. They should wear appropriate shoes and avoid playing if the courts are slippery.
c. All members and their guests should avoid making excessive noise during play. And when moving to and from the clubhouse at the end of a booking, please avoid crossing behind the other courts if people are in the middle of a point.
d. At all times, members, guest and non-members are expected to follow the WTC Club Rules and Code of Conduct that are available on our website.
